HSIM Win Contract with Stevenage Borough Council |
HSIM has recently been appointed as the scanning service provider to Stevenage Borough Council. The contract award was made following a tendering process for the back scanning of their Development Control documents. |

Due to nature and age of some of the files, weeding has been necessary prior to the scanning operation and in line with the Council’s requirements, HSIM and SBC are working in partnership to ensure document preparation is strictly controlled to achieve a streamlined electronic result. In order to create the categorisation of the documents required by SBC, barcodes have been produced to append to the files prior to scanning and indexing.
The files are to be scanned at HSIM’s secure document management centre at Poole. The data is being captured from the CAPS uniform system for the newer files and manually keyed for older files which have not been previously been electronically indexed. The scanned images will then be uploaded into the Council’s Dataspace EDRM system.

Shropshire County Council Award HSIM a Council-wide Scanning Contract |
Scanning documents for the Council wide project for Shropshire CC is schedule to commence in early Autumn 2006 following the tendering procedure which started early in the year. After numerous assessment stages, culminating in a site visit to its northern production centre HSIM was awarded the contract based on several key factors. |

| HSIM Complete Scanning Project for BP Exploration |
In November 2005, BP Exploration Operating Company Ltd approached HSIM to discuss various archiving solutions for information storage. This had become a matter of some urgency due to the impending redevelopment of the Wytch Farm site at Wareham which would involve the demolition of the BP library building. |

However, stored in the Library were extensive valuable document archives that were required to be maintained in an accessible format. There were insufficient storage facilities to retain the archives on-site, whilst off-site, or deep storage solutions posed issues with access.
A document scanning solution was the preferred option, as this would not only resolve the initial storage problem, but would also improve the accessibility of the archives by converting to an electronic format. HSIM staff worked together with BP staff to catalogue and box all files before securely transporting a total of 740 archive boxes to HSIM’s secure Records Management Centre in Poole.
Site redevelopment could go ahead as planned at Wytch Farm while HSIM proceeded with the document scanning project. A full 24/7/365 retrieval service was provided to allow access to records while be processed, and upon request, HSIM were able to prioritise and fast track urgently required document sets.
All documents have been scanned as TIFF images for viewing with HSIM’s free of charge archive management software CDView. With no current electronic document management system in place, CDView has enabled BP to access all scanned records via a fully searchable database through their secure networked environment.

| HSIM Complete Scanning Project for Somerset County Council Adult Social Services |
Somerset County Council had been a long standing microfilm client when in 2005 they decided to move to scanned image as their principal method of document storage. Following a competitive quotation process, HSIM was awarded the contract as the scanning services provider.
The Council’s objective was to initially make all Adult Primary Care files available across the county. HSIM has undertaken the back scanning of 16,000 files, while new files and additions to existing files will be scanned by the Council using HSIM’s CDScan software. CDScan has been installed on a number of scanners in remote locations and is successfully being used in the Councils’ Taunton, Bridgwater, Mendip and South Somerset Offices. |

The success of this project has led to additional Social Care scanning projects being considered utilising the same methodology.

| Hugh Symons Staff are In the Pink |
The staff of Hugh Symons, Poole, were in the pink on Friday 27th October, National Breast Cancer day. This was Breast Cancer Campaign’s biggest fund raising event, and to mark it Hugh Symons’ staff were invited to make a donation to the charity and dress in pink. In excess of £100 was raised and donated Wear it Pink charity.

Breast cancer is the most common form of cancer with one woman in nine being affected by it during her lifetime in the United Kingdom alone. Many of us have been affected by family or friends have suffered from the disease and were only too willing to be participant in this important day.
Breast Cancer Campaign is the only charity that specialises in funding independent breast cancer research throughout the UK. They currently support 71 research projects, worth over £9.2 million in 47 locations across the country. |

| HSIM Awarded Drawing Scanning Project for Metso Minerals |
Metso Minerals offers equipment, service and process solutions to industries including quarrying and aggregates production, mining and minerals processing, construction and civil. The headquarters of Metso Minerals are located in Helsinki, Finland, with manufacturing plants, sales and service offices, and distributors in over 100 countries including the UK. |

In December 2005 Metso approached HSIM to provide a quotation to scan over 80,000 technical drawings, which were stored off-site in cabinets, the vast majority of the drawings being A2-A0 size. Hugh Symons proved to be the most competitive tenderer and was awarded the contract and scanning started in March 2006
HSIM has taken a phased approach to the collection and delivery of the drawings and to date (May 2006) has scanned half of the total number at its Document Management Centre in Bradford. The drawings have been created as black and white TIFF images and have been returned in CDView format (HSIM’s licence free viewing and retrieval software). This has enabled Metso to have instant access to the documents via their existing systems whilst waiting for decisions to be made on a corporate document management system |

HSIM has just had its best month ever for document scanning. The company turned over in excess of £1/2 million, the highest ever in over 30 years of trading.
HSIM has been very successful in winning a number of high volume scanning contracts from both the NHS and Local Authorities in recent months. |

With the need to meet financial year end deadlines for many public sector clients, HSIM increased its production capacity by adding additional shifts. Production systems were also closely monitored to ensure the high volumes of worked were processed efficiently at all stages.

HSIM Re-Awarded Environment Agency Scanning Contract

Hugh Symons Information Management (HSIM) was recently re-awarded the contract to provide document scanning and microfilming services to the Environment Agency South West region following a competitive tender situation. |

HSIM has provided archiving services to the Environment Agency for more than ten years, a time which has seen a dramatic change from archiving to microfilm, to accessing scanned documents via any authorised PC. All scanned documents, plans and photographs are now accessed through HSIM's CDView retrieval software which is securely controlled by the Agency's CIS team allowing access to potentially hundreds of users.

Trinity College Dublin - Phase 2 Contract Awarded to Scan a Further 140,000 Maps |
Having successfully completed the scanning of 70,000 maps for a project within Trinity College, Dublin, in December 2005, HSIM have subsequently been awarded the second phase of this project – a further 140, 000 mixed size plans. |

The contract, award in January 2006, allowed a seamless transisition into this second phase and was based on successfully meeting stringent deadlines and high levels of quality control for the first phase.
The plans have been scanned at 500dpi and in both full colour and greyscale resulting in individual file sizes often in excess of 1Gb! |
Macclesfield Council Opt for Secure Off-Site Microfilm Storage |
Following the successful scanning projects for Building Control and Decision Notice applications undertaken by HSIM in Macclesfield Borough Council, a contract has now been awarded to HSIM for the storage and retrieval of all legacy microfilmed Planning Applications. |

This approach ties in with HSIM’s philosophy of providing a fill range of archive services for all clients and the Council’s philosophy of concentrating on providing core local authority services.
There are currently an estimated 5M microfilmed pages stored in HSIM’s secure archive centre with retrieval available via scanned image or hard copy prints. |
| HSIM Appointed Scanning Service Supplier for South London and Maudsley NHS Trust |
Following an OJEC tendering process in December 2005, HSIM was awarded the contract to provide high volume scanning services for medical records archiving within SLAM. The initial phase will involve the conversion of an estimated 8 million images before the end of the financial year – a 3 month timeframe!
Spread across numerous sites, documents will be collected, scanned and returned to the Trust in HSIM’s free issue CDView retrieval software. |
